TERMS OF SERVICE & EVENT BOOKING POLICY

IMPORTANT NOTICE:By booking an event, paying a deposit, or submitting any payment to Kasiaforest or Digital Lotus Media (via website, Stripe, direct bank transfer, or invoice), you (“the Participant”) explicitly accept and agree to be bound by all terms, conditions, policies, and liability waivers outlined below. No physical signature is required for these terms to be legally binding.

1. BOOKING, PAYMENTS & ACCEPTANCE OF TERMS

  • 1.1 Implied Acceptance: Payment of a deposit, ticket fee, or any portion of an event/retreat fee constitutes full, unreserved legal acceptance of this Event Booking Policy, Privacy Policy, and Liability Waiver.
  • 1.2 Inclusions & Exclusions: Kasiaforest / Digital Lotus Media explicitly details what is included and excluded on each specific event description page. Unless expressly stated otherwise, airfares, airport transfers, accommodation during travel, travel insurance, visas, personal expenses, and alcoholic beverages are not included.
  • 1.3 Payment Schedule & Deadlines:
    • To reserve a space for retreats or multi-day workshops, a non-refundable deposit or full ticket payment is required.
    • For events with installment plans, final balances must be received by the specified deadline (typically 30 calendar days prior to the event start date, unless stated otherwise).
    • Failure to pay the balance on time constitutes a breach of contract, reserving Kasiaforest / Digital Lotus Media the right to cancel your reservation, retain your non-refundable deposit, and re-allocate your space.
  • 1.4 Payment Disputes & Chargebacks: By making a payment, you confirm that the funds are lawful and authorized. You explicitly agree not to initiate unauthorized chargebacks, payment cancellations, or payment disputes through your bank or payment gateways (e.g., Stripe, PayPal).

2. STRICT CANCELLATION & REFUND POLICY

  • 2.1 Strict No-Refund Policy: Kasiaforest / Digital Lotus Media operates under a STRICT NO-REFUND POLICY. Because venue bookings, facilitator retainers, catering, and logistical costs are incurred immediately upon receiving bookings, payments made are 100% non-refundable under any circumstances, except as outlined in Clause 2.2.
  • 2.2 Discretionary Refunds: Any partial refund or credit is strictly at the sole discretion of Kasiaforest / Digital Lotus Media. If a refund is granted, it will be subject to deductions for administrative costs, non-recoverable payment processing fees, and marketing charges.
  • 2.3 Ticket & Space Transfers: If you are unable to attend, you may request to transfer your ticket or registration to another eligible participant. Transfers require prior written approval by Kasiaforest / Digital Lotus Media at least 7 days before the event.

3. MANDATORY TRAVEL & EVENT INSURANCE

  • 3.1 Travel Insurance Requirement: For foreign retreats or residential workshops, comprehensive travel insurance—including medical coverage, trip cancellation, personal liability, and emergency evacuation—is MANDATORY for all participants.
  • 3.2 “Cancel For Any Reason” Cover: Kasiaforest / Digital Lotus Media strongly recommends purchasing a insurance policy with “Cancel For Any Reason” (CFAR) coverage to protect yourself against unforeseen personal emergencies, sudden illness, family issues, or flight disruptions.
  • 3.3 Limitation of Financial Recourse: In the event of travel delays, flight cancellations, personal emergencies, or forced modifications to your travel plans, your sole financial recourse is to file a claim with your insurance provider. Kasiaforest / Digital Lotus Media is not liable for reimbursing flights, personal travel fees, or external expenses.

4. CHANGES OR CANCELLATIONS BY THE ORGANISER

  • 4.1 Program Adjustments: Kasiaforest / Digital Lotus Media reserves the right to make necessary adjustments to event itineraries, venue locations, workshop topics, guest speakers, or co-facilitators prior to or during the event due to unforeseen circumstances, safety concerns, or facilitator illness. Such changes do not entitle the participant to a refund.
  • 4.2 Force Majeure: In the unlikely event that an event or retreat must be cancelled or postponed due to severe weather, natural disasters, epidemics, civil disruption, venue failure, or any Force Majeure event beyond reasonable control, participants will receive a credit valid for a future event or retreat within 12 months. Cash refunds will not be issued under Force Majeure conditions.

5. ASSUMPTION OF RISK & PERSONAL RESPONSIBILITY

  • 5.1 Voluntary Assumption of Risk: Participation in events, workshops, yoga, breathwork, system constellations, retreats, outdoor activities, or developmental programs is completely voluntary. Participants acknowledge and assume all inherent physical, emotional, and psychological risks associated with these developmental activities.
  • 5.2 Health & Well-being Declaration: By attending, you confirm that you are physically, mentally, and emotionally capable of participating in the event. You are required to disclose any severe health conditions, mental health considerations, allergies, or dietary restrictions prior to attendance.
  • 5.3 Release of Liability: To the maximum extent permitted by law, Kasiaforest, Digital Lotus Media, their directors, employees, contractors, and guest facilitators accept no liability for any personal injury, emotional distress, illness, accidental damage, or loss of personal property occurring during or as a result of the event.

6. CODE OF CONDUCT & GROUP HARMONY

  • 6.1 Respectful Conduct: To ensure a safe, supportive, and harmonious space for all attendees, participants are expected to act with mutual respect and adhere to group guidelines set by Kasiaforest and the organizing team.
  • 6.2 Right of Expulsion: Kasiaforest / Digital Lotus Media reserves the right, in its sole discretion, to immediately expel any participant whose behavior is disruptive, abusive, unsafe, or harmful to the well-being of the group or event staff.
  • 6.3 Consequences of Expulsion: In the event of expulsion, no refund or credit will be granted, and any expenses incurred for return travel or accommodation will be the sole responsibility of the expelled participant.

7. MEDIA RELEASE & PRIVACY

  • 7.1 Photography & Video Rights: By attending events organized by Kasiaforest / Digital Lotus Media, you grant permission to capture, edit, and use photo, audio, and video recordings featuring your image or participation for promotional, social media, website, and educational purposes without financial compensation.
  • 7.2 Opt-Out Provision: If you prefer not to appear in public media material, you must notify Kasiaforest in writing via email before the event commences.

8. GOVERNING LAW

  • These Terms & Conditions are governed by and construed in accordance with the laws of Ireland. Any legal disputes shall be subject to the exclusive jurisdiction of the Irish courts.
